What we collect

  • Contact and booking details — your name, address, phone number, email address and the dates and vehicle you've booked.
  • Identity and licence details — your driving licence, DVLA check code and the results of that check, plus proof of address documents. We need these to satisfy our insurers.
  • Payment details — handled by our payment provider. We do not store full card numbers.
  • Vehicle and telematics data — every van carries a telematics unit recording location, mileage and driving data while the vehicle is on hire.
  • Correspondence — emails, WhatsApp messages, enquiry form submissions and notes of phone calls.
  • Website data — pages visited and general location, collected in aggregate. Our booking system is provided by Coastr and has its own privacy notice.

Why we use it, and our lawful basis

  • To provide the hire — taking bookings, handing over and checking in vehicles, invoicing and support. Lawful basis: performance of a contract.
  • To verify licences and prevent fraud — checking you're eligible to drive the vehicle and insured to do so. Lawful basis: legal obligation and legitimate interests.
  • To protect the fleet — telematics used to recover stolen vehicles, support insurance claims and locate you if you break down. Lawful basis: legitimate interests.
  • To answer enquiries — responding to your call, message or form. Lawful basis: legitimate interests.
  • To meet legal duties — naming the hirer to an issuing authority when a fine or penalty notice reaches us, and keeping accounting records. Lawful basis: legal obligation.

Telematics

We are upfront about vehicle tracking because we think you should know. While a van is on hire, the telematics unit records its location, mileage and driving data. We access that data to protect the fleet against theft, to support an insurance claim, to assist a breakdown, and to investigate a fine or a dispute over the hire. We do not use it to monitor you for any other purpose. [Retention period to confirm.]

Who we share it with

We share personal information only where we need to:

  • Our insurers and insurance brokers, and their claims handlers
  • The DVLA, for licence verification
  • RAC, where breakdown assistance is required
  • Our booking platform (Coastr) and our payment provider
  • The police, local authorities, or an issuing authority where we are legally required to identify the hirer
  • Our accountants and professional advisers

We do not sell your personal information, and we do not share it for third-party marketing.

How long we keep it

Hire agreements and the records that support them, including licence checks, are kept for six years after the end of the hire, to meet accounting, insurance and limitation-period requirements. Your rights
